Onboarding is one of the most effective ways of helping your new employees quickly get acclimated to your company. The onboarding process allows you to provide the new employee with the right tools, knowledge, and resources for them to be successful.

Although many people confuse onboarding as being synonymous with orientation, the two are very different. Orientation is a process that typically prepares someone for their first day at work. However, onboarding is much more methodical, long-term, and broader initiative to help the new hire become an engaged part of the team.

When does onboarding start?

While most orientation begins on the employee’s first day, onboarding starts the moment the individual accepts the offer.
Some of the most common forms used during this initial period are:

  • Welcome letter
  • W-4 form for tax withholding
  • Enrollment forms and benefit packages
  • I-9 form with instructions
  • Emergency notification form
  • Employee handbook and form acknowledging they received one
  • COBRA form

This means, managers and supervisors should use the onboarding process as an excellent time to get off on the right foot. To get the process started off with a bang, it is advised for the hiring manager to call the new hire a week before their start date to welcome them to the team. The hiring manager can also ask them if they have any questions and should ensure the new employee is comfortable with the instructions for their first day of work. Some hiring managers even arrange a lunch or a meet-and-greet to introduce the new hire to the rest of the team.
